A scan can look like a normal PDF while containing only images. If you cannot select individual words, you may need optical character recognition, usually called OCR, or manual transcription before editing the content.

- A scan can look like a normal PDF while containing only images.
- Changing the extension does not create selectable text. Use a real conversion or transcription workflow and verify the resulting document.
A practical checklist
Try selecting and copying a short line. If that fails, use a trusted OCR tool or type the text into a document you control. Compare every recognized line with the scan, especially email addresses, dates, numbers and small punctuation. Organize the corrected text into sections and export a new file. Check selection and reading order again.
Mistakes and limits to keep in mind
OCR can confuse similar characters and join unrelated columns. Never assume the transcription is exact. This guide does not promise that Guul performs OCR on every scanned upload. Corrected plain text is a practical input when a document cannot be extracted reliably.
Review OCR by field, not just by paragraph
Start with contact details because a single misread character can prevent a reply. Continue through employers, job titles, dates, qualification names and numbers. Compare each against the scan rather than correcting only obvious spelling errors. Columns and small text deserve extra attention.
Save the corrected text separately before formatting it. That makes the transcription reusable and avoids repeating recognition when a layout experiment goes wrong.
Choose an output that remains usable
Once the transcription is accurate, place it in a structured document with clear headings. Export a new PDF or editable file using the tool’s supported process. Verify that individual words can now be selected and that the content reads in the intended order.
Keep the scan as the reference, but submit the format the employer requests. Do not label OCR output as an exact copy until you have checked it, and do not assume selectable text alone makes the document fully accessible.
