Keep Track of Your Resume Versions

Save the exact document you submit, not just the latest draft in the editor.

Save the exact document you submit, not just the latest draft in the editor. A master resume, a role-focused draft and an application-ready export serve different purposes.

Start here

  • Save the exact document you submit, not just the latest draft in the editor.
  • Only if you or the service retained one. Check saved copies and supported history before making more changes. Do not assume an undo stack survives a reload.

A practical checklist

Keep a complete master with your factual history. Duplicate or save a separate copy before tailoring. Name each submission copy with the role, employer and date, and store the job description beside it. Log the filename with the application date. Open the exported file once before attaching it so you know the saved version contains the latest changes. Keep one folder for submitted files and another for drafts so a later edit cannot silently replace your application record.

Mistakes and limits to keep in mind

A service’s version selector may not preserve every earlier edit indefinitely. A downloaded PDF also does not preserve internal editing history. Keep your own files before downgrading, deleting a resume or accepting a large rewrite.

Separate master, draft and submitted files

The master keeps your accurate full history. A draft changes emphasis for a target role. A submitted file is a record and should not be overwritten. Give each a distinct place or naming convention so you do not accidentally send a working copy.

Keep cover letters and the job description with the submission where useful. A timestamp alone is weak evidence of the correct version if you downloaded several files while trying different templates.

Reconcile versions before making another copy

If you have conflicting drafts, compare roles, dates and the most recent edits rather than choosing solely by filename. Bring verified facts back into the master, then keep role-specific wording in the application copy.

Check what the builder saves when you switch versions and retain a local export before large changes. A version selector is not necessarily a complete editing history. If a change was never saved, another named version may not contain it.
