Keep both a submission-ready document and an editable source. A PDF preserves an output, but it may not preserve the builder’s internal sections, editing history or settings. A cloud account alone is not a second independent copy.
Start here
- Keep both a submission-ready document and an editable source.
- Usually it preserves the selected output, not every earlier edit or account setting. Keep important variants separately and check any project-data export the service offers.
A practical checklist
Download the current PDF and any editable format available. Open both files and verify all pages, contact details and recent changes. Save a plain-text copy of the sections as a portable fallback you control. Name files with the role and date, and keep the job description with the application version. Store a separate copy in a location you can still access if the builder account is unavailable.
Mistakes and limits to keep in mind
Before cancelling or downgrading, check what happens to extra resumes, version history and editing access. A screenshot is useful for remembering layout but is not an editable backup. Protect backups containing contact details and employment history; do not leave them on a shared public computer.
Know what each backup actually preserves
The submitted PDF is your record of what the recipient saw. The editable file helps you make later changes. Plain text preserves words when a project format cannot be opened elsewhere. A builder’s own project export may preserve structured sections, but another product might not understand it. Keep more than one format when your account permits it.
Open each backup rather than assuming that a completed download created a usable file. Check the last role and final page, where incomplete exports are easy to overlook.
Make a small application archive
For each application, keep the job description, the submitted resume and a note of the date and role. Keep drafts in a separate folder so a later edit cannot overwrite the sent version. Give files readable names that distinguish employer, role and date without exposing unnecessary private information.
Before cancelling a service, check whether you also need cover letters, profile data or earlier versions. A resume PDF does not back up the whole account. Protect copies on shared devices and remove them when they are no longer needed.
